Learn how to use Lead Harvester to automatically find businesses that match your ideal customer and add new leads directly to your Webware CRM.

✨ Introduction:

Lead Harvester helps take the manual work out of finding new business leads.
Once set up, Webware can automatically search for businesses that match your ideal customer, find available contacts and decision-makers within those businesses, and add them directly to your CRM.

You can let Webware determine who to target based on your business information, or choose the specific type of businesses and location you want to target.


👍 What to Know Before You Start

Before setting up Lead Harvester:

  • Lead Harvester is set up through Automations.

  • Each run can add up to 10 new matching companies to your CRM.

  • Webware searches for real contacts within those businesses and prioritizes decision-makers when possible.

  • Available contact information, such as phone numbers and checked email addresses, may also be included.

  • Businesses already in your CRM are skipped to help prevent duplicates.

  • You can automatically assign leads to a Lead Owner and add them to a CRM List.

⚠️ Important: Lead Harvester works best when searching for business leads (B2B). If your ideal customers are individual consumers, homeowners, or the general public, this feature may not be the best fit.


🛠 Step-by-Step: How to Set Up Lead Harvester

✅ Step 1: Create a List for Your New Leads

Before creating your Lead Harvester Automation, we recommend creating a dedicated CRM List to keep the leads it finds organized.

  1. Navigate to Customers > Lists.

  2. Select Actions > Custom List.

  3. Enter a List Name that describes the type of leads you'll be targeting.

For example: Retail Leads

  1. Add an optional Description.

  2. Click Save.

💡 Tip: Name your list based on the type of leads you're harvesting so they're easy to identify and follow up with later.


✅ Step 2: Create Your Lead Harvester Automation

From the left-side menu, navigate to Automations.

⚠️ Note: Automations are currently available on desktop and are not available through the mobile app.

Click Create Automation and enter:

  • Automation Name: Give your automation an easy-to-recognize name, such as Leads Automation – Retail.

  • Purpose: Add a brief description explaining what the automation is being used for.


✅ Step 3: Set When Lead Harvester Should Run

Now you'll choose when you want Lead Harvester to search for new leads.

Select the trigger:

On X Date and X Time

Choose the date and time you want your Lead Harvester Automation to run.

If you want it to run again automatically, use Custom Recurrence to choose how often it should repeat by days, weeks, or months.

Once you're finished, click Save Trigger.

💡 Tip: Use Custom Recurrence if you want Lead Harvester to regularly search for new prospects without having to manually start a new search each time.


✅ Step 4: Select the Lead Harvester Action

Now it's time to tell the Automation what you want it to do.

From the available Actions, select:

CRM & Data > Lead Harvester

Lead Harvester will search for businesses that match your ideal customer, find available contact information, and add the results to your CRM.


✅ Step 5: Choose How Lead Harvester Should Find Your Leads

You have two options for determining who Lead Harvester should target:

🔎 Find leads for me

Choose Find leads for me if you want Webware to determine who to target for you.

Webware will use your existing Business Intelligence information to understand your business and automatically determine the types of businesses that are the best fit.

This is the easiest option if you're unsure exactly who you should target.

🎯 Choose my target leads

Choose Choose my target leads if you already know the type of businesses you want to find.

Enter:

  • The type of business/industry you're looking for

  • The Country

  • The City, if you want to narrow the search to a specific area
    ​

For example, you could search for Carpenters, Property Managers, or Restaurants in a particular city.

💡 Which should I choose?

  • Use Find leads for me when you want Webware to determine your targeting based on your Business Intelligence.

  • Use Choose my target leads when you already know the specific businesses and location you want to target.


✅ Step 6: Choose Where Your Leads Should Go

Next, you can choose how your new leads will be organized once they're added to your CRM.

Lead Owner

Select the team member who should be responsible for the new leads.

When selected, new companies found by Lead Harvester will automatically be assigned to that Lead Owner.

Add to List

Select the CRM List you created earlier.

This automatically adds the new contacts to that list, making it easier to find, organize, and follow up with your Lead Harvester prospects.


✅ Step 7: Save and Activate

Once you've reviewed your Lead Harvester settings:

  1. Click Save Action.

  2. Click Save & Activate.

Your Lead Harvester Automation is now ready to run based on the schedule you selected.


🎯 What Happens Next?

Each time the Automation runs, Lead Harvester can add up to 10 new matching companies directly to your CRM.

But it doesn't just give you a list of business names.

Lead Harvester searches for real people within those businesses, prioritizing decision-makers such as owners and managers when possible.

Your new CRM records may include:

  • Contact name

  • Company

  • Job title when available

  • Phone number when available

  • Checked email address when possible

Lead Harvester also checks your existing CRM and skips businesses already in your database, helping prevent duplicate companies from being added.

If you selected a Lead Owner and CRM List, the new leads will automatically be assigned and organized for follow-up.


🔔 How You'll Know When New Leads Are Added

After Lead Harvester runs, Webware keeps you informed about what was found.

  • Admins and staff receive a summary email showing the companies and contacts added.

  • Your selected Lead Owner receives an email showing the leads assigned to them.

  • You'll also receive a Webware notification when new companies and leads are added.

You'll receive one summary email per run, rather than a separate email for every lead.


💡 Pro Tips

Keep your Business Intelligence up to date
If you use Find leads for me, Lead Harvester relies on your business information to determine the types of businesses it should target.

Create a dedicated CRM List
A list such as Retail Leads, Property Management Leads, or Lead Harvester Prospects makes it much easier to identify and follow up with the leads generated by your Automation.

Be specific with manual targeting
When using Choose my target leads, clearly describe the type of business you're looking for and use the location fields to focus your search.

Set a Lead Owner
If multiple people work in your Webware account, assigning an owner makes it clear who is responsible for following up with the new opportunities.

⚠️ Remember: Lead Harvester is designed primarily for B2B lead generation. It works best when your potential customers are businesses rather than individual consumers, homeowners, or the general public.

Once your leads start appearing in your CRM, review the new companies and contacts and begin reaching out to the opportunities that are relevant to your business.
